Office Volunteering

Office Volunteers help with administrative tasks at the Make-A-Wish office. By assisting the staff with administrative tasks, the staff can focus more on planning wishes and raising money to fund those wishes.

Office volunteers assist staff members with tasks related to data entry, filing, making phone calls, keeping records updated, volunteer recruitment and screening, and more. Office volunteers typically commit to a weekly schedule of about 3-4 hours per week, on a weekly basis.  For most office volunteer positions, we ask for a minimum six-month commitment. Office volunteers help at the Make-A-Wish office (currently located in San Francisco, with a move to downtown Oakland scheduled for August 2017), and must be available during our regular office hours (9am-5pm M-F).

Referral Intake Assistant

At Make-A-Wish, we grant wishes for children with life-threatening medical conditions to enrich the human experience with hope, strength, and joy.  The Greater Bay Area Chapter is headquartered in San Francisco (though moving to Oakland soon), and covers 17 counties of Northern California, granting close to 400 wishes per year. The Program Department is looking for a volunteer to assist with data entry of newly-referred families, processing medical eligibility paperwork and making welcome calls to wish families.

We are looking for a volunteer who can help 3-4 hours twice a week for a total of 7-8 hours. Available shifts are Monday (morning or afternoon) and Wednesday (afternoon) or Monday (morning or afternoon) and Thursday (afternoon). We require that the volunteer can agree to a minimum six-month commitment. All the office work will be done at the Make-A-Wish office currently located in San Francisco, with a move to Oakland planned for August 2017.  Both locations are easily accessible via BART.

Duties include:

  • Data entry of new referrals into Raiser’s Edge database
  • Processing medical eligibility paperwork.
  • Making welcome calls to wish families.
  • Following up with medical teams about medical eligibility and wish safety.

The volunteer should be an organized, administrative volunteer with an attention to detail and data entry experience.  The volunteer must possess excellent communication skills and be flexible as we introduce this new role within our team. Experience with Raiser’s Edge is desirable.  The Referral Intake Assistant must be at least 18 years old.

Wish Bag and Vendor Acknowledgement Assistant

At Make-A-Wish, we grant wishes for kids with life-threatening medical conditions to enrich the human experience with hope, strength, and joy. The Greater Bay Area Chapter is headquartered in San Francisco, and covers 17 counties of Northern California, granting an average of 330 wishes per year. For each wish, we send the child a bag with a t-shirt, a ball cap, a pin, a backpack, and various other items to enhance the wish. 70% of our wishes involve travel, so for those wishes, we send an itinerary with travel information (hotel, rental car, flight information). The Program Department is looking for a volunteer to assist with assembling the bags and itineraries, as well as sending out thank you letters to our generous wish vendors.

We are looking for a volunteer who can help 3-4 hours per week, on a regular, weekly basis. The shift must be done during our office hours – 9am-5pm M-F. We can mutually decide what shift time works with your schedule (e.g. Tuesday 1-5pm, Wednesday, 9am-1pm, etc.). We also require that the volunteer be willing to agree to a minimum six-month commitment. All the office work will be done at the Make-A-Wish office currently located in San Francisco, with a move to Oakland planned for August 2017.  Both locations are easily accessible via BART.

Duties include:

  • Wish bags – putting together bag with items, decorating folder unique to wish and completing with appropriate inserts
  • Wish Itineraries – Prepping and finishing itineraries for various wish types – travel, material, etc.
  • Re-supply Wish Folders by Wish Type in drawer
  • Draft and send out monthly thank you letters to vendors who have discounted and donated to wishes
  • Oversee Program Supply Room – alert department when running low on certain items to order

The volunteer should be detail-oriented and an arts-and-crafts type person with an eye for what would look fun for kids. Experience with Microsoft Excel and Word required. Experience with graphics and/or Microsoft Publisher preferred. Spanish-Speaker preferred. The Wish Bag and Vendor Acknowledgement Assistant must be at least 18 years old.

Wish Assistant

At Make-A-Wish, we grant wishes for children with life-threatening medical conditions to enrich the human experience with hope, strength, and joy. The Greater Bay Area Chapter will be headquartered in Oakland, and covers 17 counties of Northern California, granting close to 400 wishes per year. Our Program Team is looking for an administrative volunteer who can help with administrative tasks, supporting families of wish recipients.

We are looking for a volunteer who can help 4 hours per week, on a regular, weekly basis. The shift must be done during our office hours – 9am-5pm M-F. We can mutually decide what shift works with your schedule (e.g. Tuesday 1-5pm, Wednesday, 9am-1pm). We require that the volunteer be willing to agree to a minimum six-month commitment. All the office work will be done at the Make-A-Wish office currently located in San Francisco, with a move to Oakland planned for August 2017.  Both locations are easily accessible via BART.

Duties include administrative support including:

  • Creating and sending acknowledgment (thank you) letters (post-wish) to in-kind vendors.
  • Preparing folders of materials for wishes.
  • Sending post-wish evaluations to families.
  • Data entry, including creating volunteer jobs in Raiser’s Edge for wish granters when assigned to a wish.

The volunteer should be an organized, administrative volunteer with an attention to detail. Experience with data entry and Microsoft Word required. Experience with Raiser’s Edge is a plus. The Wish Assistant must be at least 18 years old.
