Office Volunteering

Office Volunteers help with administrative tasks at the Make-A-Wish office. By assisting the staff with administrative tasks, the staff can focus more on planning wishes and raising money to fund those wishes.

Office volunteers assist staff members with tasks related to data entry, filing, making phone calls, keeping records updated, volunteer recruitment and screening, and more. Office volunteers typically commit to a weekly schedule of about 3-4 hours per week, on a weekly basis.  For most office volunteer positions, we ask for a minimum six-month commitment. Office volunteers help at the Make-A-Wish office in downtown Oakland, and must be available during our regular office hours (9am-5pm M-F).

Referral Intake Assistant

At Make-A-Wish, we grant wishes for children with life-threatening medical conditions to enrich the human experience with hope, strength, and joy.  The Greater Bay Area Chapter is headquartered in Oakland, and covers 17 counties of Northern California, granting close to 400 wishes per year. The Program Department is looking for a volunteer to assist with data entry of newly-referred families, processing medical eligibility paperwork and making welcome calls to wish families.

We are looking for a volunteer who can help 3-4 hours twice a week for a total of 7-8 hours. Available shifts are Monday (morning or afternoon) and Wednesday (afternoon) or Monday (morning or afternoon) and Thursday (afternoon). We require that the volunteer can agree to a minimum six-month commitment. All the office work will be done at the Make-A-Wish in downtown Oakland, which is easily accessible via BART.

Duties include:

  • Data entry of new referrals into Raiser’s Edge database
  • Processing medical eligibility paperwork.
  • Making welcome calls to wish families.
  • Following up with medical teams about medical eligibility and wish safety.

The volunteer should be an organized, administrative volunteer with an attention to detail and data entry experience.  The volunteer must possess excellent communication skills and be flexible as we introduce this new role within our team. Experience with Raiser’s Edge is desirable.  The Referral Intake Assistant must be at least 18 years old.

Volunteer Appreciation Assistant

At Make-A-Wish, we grant wishes for kids with life-threatening medical conditions. Volunteers are the driving force of Make-A-Wish, out in the community, meeting with wish families, presenting the wishes, and raising awareness and funds to grant the wishes. The Volunteer Services Department is looking for a volunteer to assist with recognizing and appreciating the volunteer base.

We are looking for a volunteer who can help 3-4 hours per week, on a regular, weekly basis. The shift must be done during our office hours – 9am-5pm M-F. We can mutually decide what shift time works with your schedule (e.g. Monday 9am-1pm, Friday, 1pm-5pm, or whatever works best with your schedule). We also require that the volunteer be willing to agree to a minimum six-month commitment. All the office work will be done at the Make-A-Wish office in Oakland.

Duties include:

  • Sending thank you cards to volunteers who are completing wishes
  • Forwarding photos, wish art, and words of wish families to volunteers
  • Sending birthday cards to volunteers
  • Tracking volunteers who are reaching milestones of service (5 years, 10 years, etc.) and acknowledging those milestones
  • Posting volunteer highlights on the volunteer Facebook group

Required skills and experience:

  • Creative skills to make thank you and birthday cards look special
  • Experience with Facebook (must have your own Facebook account)

Preferred Experience:

  • Experience running queries in databases, and exporting information, especially Raiser’s Edge

Donor Appreciation Assistant

At Make-A-Wish, we grant wishes for kids with life-threatening medical conditions to enrich the human experience with hope, strength, and joy.  The Greater Bay Area Chapter is headquartered in Oakland, and covers 17 counties of Northern California, granting an average of 370 wishes per year.  In order to raise money to fund the wishes of the children we serve, we work with individual and corporate donors.  For each donation, we need to send the donor an official thank you letter for his/her tax purposes, and to show our appreciation for the gift.

We are looking for a volunteer who can help 3-4 hours per week, on a regular, weekly basis.  The days and times can be flexible, but would ideally be Monday or Friday.  All the office work will be done at the Make-A-Wish office in Oakland, during our office hours (9am-5pm M-F).  We also require that the volunteer be willing to agree to a minimum six-month commitment.  

Duties include:

  • Running queries in the database to pull lists of donors to thank
  • Printing, folding, stuffing, and mailing official donor acknowledgment (thank you) letters.
  • Data entry – entering corporate sponsor information in our database, Raiser’s Edge, as well as tracking interactions with the companies

The volunteer should be an organized, administrative volunteer with an attention to detail.  Experience with Microsoft Excel and Word required.  Experience with data entry and administrative work required.  Experience with Raiser’s Edge (or similar database) strongly preferred.  The Donor Appreciation Assistant must be at least 18 years old.  If you are interested in this position, please email our Volunteer Manager at ibyhagrre@fs.jvfu.bet to express interest, and include a resume.



Wish Admin Assistant

At Make-A-Wish, we grant wishes for children with life-threatening medical conditions to enrich the human experience with hope, strength, and joy.  The Greater Bay Area Chapter will be headquartered in Oakland, and covers 17 counties of Northern California, granting close to 400 wishes per year.  Our Program Team is looking for an administrative volunteer who can help with administrative tasks, supporting families of wish recipients.

We are looking for a volunteer who can help 4 hours per week, on a regular, weekly basis.  The shift must be done during our office hours – 9am-5pm M-F.  We can mutually decide what shift works with your schedule (e.g. Tuesday 1-5pm, Wednesday, 9am-1pm).  We require that the volunteer be willing to agree to a minimum six-month commitment.  All the office work will be done at the Make-A-Wish office in Oakland.

Duties include administrative support including:

  • Creating and sending acknowledgment (thank you) letters (post-wish) to in-kind vendors.
  • Preparing folders of materials for wishes.
  • Sending post-wish evaluations to families
  • Data entry, including creating volunteer jobs in Raiser’s Edge for wish granters when assigned to a wish.

The volunteer should be an organized, administrative volunteer with an attention to detail.  Experience with data entry and Microsoft Word required.  Experience with Raiser’s Edge is a plus.  The Wish Assistant must be at least 18 years old.

Wish Finance Assistant

At Make-A-Wish, we grant wishes for children with life-threatening medical conditions to enrich the human experience with hope, strength, and joy.  The Greater Bay Area Chapter is headquartered in Oakland, and covers 17 counties of Northern California, granting close to 400 wishes per year.  The Program Department is looking for a volunteer to assist with wish accounting.

We are looking for a volunteer who can help 4 hours per week, on a regular, weekly basis.  The shift must be done during our office hours – 9am-5pm M-F.  We can mutually decide what shift works with your schedule (e.g. Tuesday 1-5pm, Wednesday, 9am-1pm).  We also require that the volunteer be willing to agree to a minimum six-month commitment.  All the office work will be done at the Make-A-Wish office in Oakland.

Duties include administrative support including:

  • Reconciling wish budget (cost sheets) with financial records.
  • Working with program staff to resolve discrepancies between wish budget and financial reports.
  • Interacting with accounting department to identify discrepancies and communicate issues with appropriate Program Team member.
  • Monitoring financial reports to ensure that wishes are closed in a timely manner.
  • Processing wish in-kind donations including entry in Batch.

The volunteer should be an organized, administrative volunteer with an attention to detail and accounting or finance experience.  The volunteer must possess excellent communication skills and be flexible as we introduce this new role within our team.  Experience with data entry and Microsoft Excel required.  Experience with Raiser’s Edge, and data collection and analysis strongly preferred.  The Wish Finance Assistant must be at least 18 years old.
